Calculated Fields or Fix It Upstream? How I Decide in Data Studio
- Good uses of calculated fields
- When I move logic out of the report
- Rules I follow for the fields that stay
- A quick test
Calculated fields are one of the most useful parts of Data Studio (formerly Looker Studio). They are also where a lot of reports quietly go wrong. I’m Harsh Khubchandani, an independent Data Studio consultant in New Delhi, and on every project I make a deliberate choice about where each piece of logic lives.
Good uses of calculated fields
- Simple ratios such as cost per lead or conversion rate, where the formula is short and obvious.
- Display formatting, for example turning a status code into a readable label.
- Light grouping, like bucketing order values into small, medium and large.
- Report-specific logic that only one chart needs.
When I move logic out of the report
- The same formula appears in several data sources or reports. If the definition of “qualified lead” lives in five places, it will drift. I define it once in the source data.
- The CASE statement is long. Mapping hundreds of campaign names to channels belongs in a maintained lookup table, not a formula nobody wants to edit.
- Performance suffers. Heavy text functions run on every query.
- Finance or leadership depends on the number. Key metrics should be defined where they can be documented and tested, usually in BigQuery or a controlled Google Sheet.
Rules I follow for the fields that stay
- Give each field a clear business name and a short description.
- Create fields at the data source level, not inside a single chart, unless they truly belong to one chart.
- Avoid ratios that average averages. Calculate rates from summed totals so they stay correct at every level of detail.
- Keep a short list of key fields and formulas in the report’s documentation page.
A quick test
If a new analyst can’t explain what a field does from its name and description, it needs renaming, documenting or moving.
If your report has grown a tangle of calculated fields, I offer a free 30-minute review and a fixed written price to tidy it up. Details at datastudioconsultant.com.
