Showing When a Data Studio Report Was Last Updated
- Show the latest date in the data
- Know each source’s delay
- Watch the cache
- Flag it when something breaks
A report nobody trusts is a report nobody uses, and the quickest way to lose trust is stale data that looks current. I’m Harsh Khubchandani, an independent Data Studio consultant in New Delhi, and this is how I show data freshness in Data Studio (formerly Looker Studio).
Show the latest date in the data
I add a small scorecard near the title using the maximum of the date field, labelled “Data up to”. It reflects what is actually in the source, which is more honest than the time the page was opened.
Know each source’s delay
GA4, ad platforms and Google Sheets all refresh on different schedules, and some recent days can still change. I list the usual delay for each source on the report’s notes page so readers know yesterday’s numbers may move.
Watch the cache
Data Studio caches query results according to each data source’s freshness setting. When a client says the report hasn’t updated, I check that setting first before looking for a bigger problem.
Flag it when something breaks
For important reports I add a simple check: if the latest date is more than two days old, a text field or conditional colour makes it obvious. It’s cheaper than finding out in a board meeting.
If your team isn’t sure whether its dashboard is current, I offer a free 30-minute review. Details at datastudioconsultant.com.
