Using Extracted Data Sources to Speed Up Data Studio Reports

When and how to use the Extract Data connector to make Data Studio reports faster.

When a Data Studio (formerly Looker Studio) report is slow because it queries a live connector on every page load, an extracted data source is one of the first fixes I try. I’m Harsh Khubchandani, an independent Data Studio consultant in New Delhi, and here is how I decide when to use one.

What an extract does

The Extract Data connector takes a snapshot of selected dimensions and metrics from another data source and stores it for the report to query. Charts read from the snapshot instead of hitting the original source each time, so pages usually load much faster.

When an extract makes sense

  • The source is slow or rate-limited, such as GA4 or some ad platform connectors.
  • The report is viewed often but the data only needs to refresh daily.
  • You only need a handful of fields, not the whole schema.

When I avoid it

  • People need near real-time numbers during the day.
  • The report needs many fields or very detailed rows, since extracts have a size limit.
  • The logic changes often, because each change means editing the extract.

How I set one up

  1. List the exact fields each chart uses, and include only those in the extract.
  2. Choose a sensible date range, for example the last 13 months for year-on-year comparisons.
  3. Turn on auto-update at a daily schedule that runs before people open the report.
  4. Note on the report’s info page that data is refreshed daily, so nobody expects live figures.

Check the numbers

After switching charts to the extract, I compare totals with the original source for a couple of date ranges. Ratios like conversion rate should be rebuilt from summed totals, not averaged.
