§A conservative workflow for reconciling Base USDC payments with invoices

Receiving USDC on Base creates a public transfer record, but it does not identify the invoice by itself. Equal amounts repeat, payer wallets change, transfers can arrive late, and look-alike tokens can display a familiar symbol. A defensible month-end close needs an explicit evidence hierarchy.

§1. Preserve the source files

Keep the original invoice CSV and BaseScan token-transfer export unchanged. Record the close period and time zone. Confirm that the receiving address is the wallet whose receivables you are closing.

§2. Verify the asset, not only the symbol

Native USDC on Base uses contract 0x833589fCD6eDb6E08f4c7C32D4f71b54bdA02913. Treat the contract address as evidence. A token name or symbol alone is not sufficient because unrelated assets can imitate it.

§3. Prefer direct transaction evidence

If a remittance identifies a transaction hash, check that hash first. Confirm the Base network, native USDC contract, receiving address, amount, timestamp and confirmation state.

§4. Keep inferred matches conservative

Without a transaction hash, an automatic match should require one globally unique transfer with the expected payer wallet and exact amount after the invoice issue time. Amount-only candidates should remain manual review. Duplicate hashes, underpayments, overpayments and unassigned transfers should stay visible.

§5. Preserve the review trail

Export close totals, reconciliation rows and exceptions together with fingerprints of the exact source bytes and report. Fingerprints help detect later changes; they are not signatures and do not prove identity or accounting correctness.
